The importance of a digital asset register

09 January 2024

Mobiess has released a new update for its Asset Management mobile solution, which offers a range of facilities management applications including asset management, building surveys, and inspections, explains Daniel Horner

MOBIESS HAS introduced an update to its award-winning Asset Inspector product. Asset Inspector supports organisations in their accurate collection and management of asset over there entire life from installation to decommissioning.

The latest version on Asset Inspector now offers a formal change management process to lock down change and asset assign ownership alongside service levels to the change activities. Over recent years the importance of accurate asset registers has increased with the drive for energy efficiency, health and safety and most recently sustainability. The Mobiess Platform provides a full independent view of your assets that drive all of your other IWMS/CAFM and maintenance systems as we focus full asset lifecycle and not just the maintenance.

Asset Inspector

Asset Inspector provides a structured approach to tagging and coding assets using configurable multi-level hierarchies and database driven pick lists, allowing use of different hierarchies for different projects and customers. This flexible and best practise-based approach to asset coding / collection supports Strategic Maintenance Planning as well as the production of accurate Fixed Asset Registers. Collect, validate and audit your assets from mobile phones, tablets or the web. The key benefits of implementing a Mobile Asset Management Platform are improved asset collection rates, improvements in data quality, consistency and coding, reduction in asset project delivery times and support for Barcodes, QR Codes and NFC Tags.

Data Standards

Many asset registers are affected by poor data standards due to not considering the importance of their master Asset Hierarchy and coding standards. Although most industries don't have a default data standard that everyone operates to, we are starting to see a unification, so ensure you use the most relevant standard in your coding systems. ISO 55000 - PAS55, CIBSE, BSRIA, RICS, BESA-SFG20 and Uniclass are all supported in the Asset Hierarchy to help you maximise alignment to your corporate standards.

  • Give your asset hierarchy an instinctive and logical structure.
  • Follow uniformed approach to asset coding and naming.
  • Only include what you need to.
  • Define asset-specific attributes to ensure consistent data capture.
  • Audit and update the information included regularly.
  • Assign Repair and Replacement costs to Asset Types for lifecycle planning.
  • Asset Life expectancies to Asset Types.

What industry leaders say

By centralising all of your assets into a central register, organisations are able to have a clearing understanding of the risks, improved capital planning, mitigate future supplier performance failures, and identify critical asset and dependencies.

Isobel Rushall, MD of Moston Asset Management, one of the leading providers of surveying services in the UK said, "by using the Mobiess Platform we have been able to reduce our Mobile surveying time by 20% compared to manual processes."

Jonathan O’Neill, head of CAFM Solutions for Skanska observed that "the independence of the Mobiess platform helps us collect and quality assure assets for any CAFM system that Skanska, or our clients use, without any vendor lock in".

Jim Cray, operations director for H&J Martin Asset Management Services stated that "by having a standards-based Asset Collection and Audit system embedded in our operations teams we are able to provide a high-quality data collection and asset auditing service to our clients". "The improvement in quality of our asset data has allowed H&J Martin to reduce unnecessary repairs and visits for our customers," he added.
