Building the foundations for predictive maintenance

For many plants, the gap between maintenance strategy and daily execution is wider than it should be. Timly sets out three practical steps that can help close it

MAINTENANCE CAN feel like a daily firefight even in well-run plants. Ageing assets, skills gaps and tightening regulations collide with paper-based processes, scattered spreadsheets and siloed systems, making it hard to reduce downtime without adding cost or complexity.
Timly's Maintenance Report 2026 shows many European companies are caught between reactive and basic condition-based maintenance, with predictive still the exception rather than the rule.
The biggest efficiency leaks will be familiar to plant managers: the absence of a single source of truth for assets, maintenance history and responsibilities; analogue work orders and checklists that require double entry and rework; no mechanism for retaining knowledge as experienced technicians approach retirement; and budget pressure that keeps teams in short-term repair mode rather than optimising lifecycle costs.
Three levers for efficient maintenance
Looking at how leading manufacturers, construction firms and service providers run maintenance, three fundamentals for success stand out:
- Centralised asset and maintenance data: A cloud-based register that covers production equipment, tools, facilities and IT gives everyone the same view of what exists, where it is, who owns it and what was done last. This eliminates hunting for information, supports planning and ensures that preventive and statutory tasks are not missed.
- Standardised but flexible workflows: Efficient teams standardise how they log faults, plan work, execute inspections and close out tasks, while allowing for line- or site-specific nuances. With work orders, checklists and approvals managed digitally instead of via email and spreadsheets, they cut manual hand-offs, avoid duplicate data entry and create clear audit trails.
- Mobile-first execution on the shop floor: Technicians work more efficiently when they can scan a QR or barcode on the asset, see live status and instructions, capture photos and complete checklists on a smartphone, online or offline. This removes paperwork, speeds up fault diagnosis and improves data quality for future planning.
Among Timly customers surveyed, plants that digitised these three areas reported significantly fewer cases of missing asset information and much clearer responsibility for each asset, two critical prerequisites for efficient maintenance execution.
Efficient today, predictive tomorrow
There is a clear theme emerging from recent maintenance conversations: you cannot jump straight to predictive maintenance without first making day‑to‑day processes lean and reliable. Once asset data, workflows and field execution are digitised and consistent, condition monitoring, analytics and AI can be layered on top to further reduce downtime and improve resource utilisation. At that point, maintenance genuinely becomes a value driver.
