CMMS delivers benefits to financial services company

Specialist financial services group, Just, has selected Real Asset Management’s (RAM) Computerised Maintenance Management System (CMMS) to bring all of its maintenance and engineering processes in-house.
Due to the company going through a period of expansion, it decided that replacing its many outsourced service providers with internally controlled CMMS software would improve the management of its developing asset base. The solution will be used to monitor work that is carried out in offices, allowing engineers to respond quickly when faults are reported.
Before implementing the software, all maintenance and work orders were managed using a number of disparate external systems and services. Just decided that internalising these tasks and collating all information and processes into one solution was crucial. Jim Silo, facilities consultant at Just, comments: “Prior to proceeding with RAM, many procedures were outsourced. We wanted to have more control over the maintenance of assets within our premises and made the decision to bring management in-house, which led to the need for a CMMS to be installed for internal use. The main advantages of this will be improving information quality and enhancing communication between departments. The system will also save us a lot of time by allowing authorised users to extract data when required.”
The CMMS will assist Just in planning its preventative maintenance, logging details of reactive jobs and allowing the company to schedule work orders using the comprehensive employee availability calendar.
Silo states: "The main reasons we chose RAM were the simplicity of the system, the straightforward navigation tools and the high level of customisation that was available to us within the software. The solution is simple to use and will make it far easier for us to train new members of staff and save us time in getting people up to speed. Having all work order information entered into one system with fields that are meaningful will make running reports and scheduling tasks a straightforward process."
Richard Shaw, sales director at Real Asset Management, adds: “RAM’s CMMS software provides Just with a powerful asset register containing the work order history for all equipment, providing a full audit trail of item movements and completed jobs. The facility for the management of reactive maintenance will allow technicians to respond quickly to all urgent requests.
“The ability to generate standard jobs using predefined templates will save the company a great deal of time, as these would have been manually configured previously. Just will also benefit from the graphical dashboards that present it with an instant view of KPIs that show where the majority of work is being carried out and where cost reductions can be made.”
The system enables the storage of health and safety certificates, giving authorised users immediate access to essential information and making it easier for them to see when documentation is due for renewal.
Just has asserted more control over all maintenance management processes by using the CMMS. When discussing why the company selected RAM, Silo concluded: "The services provided have been first class throughout the process.
